Replace a file and keep the link

Swap in a new version of a file without changing the link, the QR code or the view history.

Sent out a menu, a price list or a CV and now it needs an update? Replace the file behind the link. The address stays the same, so everyone who already has the link, and every printed QR code, opens the new version. Replacing a file is free on every plan.

What stays the same#

  • The link address.
  • The QR code, including ones you already printed.
  • The view count and analytics history.
  • Your link settings: password, expiry date, view limit, email gate and the rest. See Link settings.

Only the file changes. The new file doesn't have to be the same type as the old one.

How to replace a file#

  1. In My files, open the link's ... menu and choose Link settings.

  2. Go to the Sharing tab

    Find the Replace the file section.

  3. Pick the new file

    Click Choose new file and select it. The button shows Uploading... while it works. When it finishes you see "File replaced, same link kept".

iPhone photos in HEIC format are turned into JPEG in your browser before they upload, just like a normal upload.

Size limits

The new file has to fit your plan's per-file limit, the same as any upload:

How storage is counted#

A replace doesn't use up a new link, but it can change how much storage you use.

  • Free: the old file is deleted when the new one goes live, so its space is freed. The check is: your current storage, minus the old file, plus the new file, must fit your total.
  • Pro and Lifetime: the old file is kept as a version (see below), so it still takes up space. The new file needs room on top of what you already use.

If the new file would go over your total, the replace is refused and the old file keeps working. See Plans and limits.

Version history (Pro)#

On Pro, each replace keeps the previous file. You see the list under Version history on the same Sharing tab, just below Replace the file. Each one shows when it was replaced and its size.

  • Restore makes an earlier file live again. You confirm first ("Make this the live file? The current one is kept as a version."), so you never lose the file you are replacing.
  • Delete removes an earlier file for good and frees its space.
  • A link keeps up to 5 earlier files. When you replace again after that, the oldest one is deleted.

If you move from Pro back to Free, versions you already kept still count toward your storage. You can still see and delete them, but restoring needs Pro.

Safety checks on the new file#

A replacement goes through the same safety scan as a new upload, and a restored version is scanned again too. If the new file is flagged, it is not published: your link keeps showing the original file, and you see a message saying so.

Links under review can't be replaced

If a link is being reviewed by our team, you can't replace its file or restore a version until the review is done. You see "This link is under review and can't be replaced." See Safety, scanning and reporting.
