The binder nobody reads, and the QR people do scan

A laminated binder on the kitchen counter often goes unopened, or gets opened only after the guest has already messaged you to ask for the Wi-Fi. A QR code on the fridge, the back of the door or the key tag is where people actually look, and it opens the manual on the device already in their hand. It is also easy to navigate: the viewer lets guests jump through pages and zoom in on the diagram of the fuse box.

Update the PDF, keep the QR

Manuals go out of date constantly: a new router, a changed bin day, a bakery that closed. With a printed binder, every change means reprinting. Here you edit your document, export a new PDF and replace the file behind the existing link. The QR codes already stuck around the house keep working and now open the new version. There is no second link to send and nothing to reprint.

Short videos for the things words cannot explain

Some things are easier to show than describe: resetting the boiler, filling the coffee machine, working the hot-tub cover. Upload the manual together with a few short clips and they become one album behind one link and one QR. The PDF opens in a viewer, and the videos stream on the guest's phone with seeking, so they can skip straight to the part they need.

Door codes and Wi-Fi passwords: keep the sensitive bits separate

An open link can be forwarded, and a QR on a door can be photographed by anyone who walks past. So keep the manual itself free of anything that unlocks the property, and send door codes and lockbox numbers in the booking message for each stay. Wi-Fi passwords are a judgement call. Many hosts put them in the manual because it saves the 11pm message; if you do, consider a separate guest network.

Knowing it was actually opened

Every link has a view counter, so you can see whether the manual is being read at all, and whether putting the QR by the door beat leaving the binder on the counter. More than one language

If your guests come from different countries, make one PDF per language. Either give each its own link and its own QR (with a small flag next to each code), or upload them together as one album so a single QR opens a page where guests pick their language.
