# How to send a large PDF that's too big for email

Send a large PDF, no limits

q3-report.pdf Live

lisview.com/report

You attached the PDF, hit send, and got the bounce: **"message exceeds the size limit."** Gmail, Outlook, and Yahoo all cap attachments at 25 MB, and because of how email encodes files the real ceiling is closer to 18 MB. A text-only report can slip under that easily, but a scanned contract, a design-heavy brochure, or a photo-packed deck is routinely **40-80 MB**. So how do you actually get it to someone?

Here are the six ways to [send large files via email](https://linkinseconds.com/send-large-files-via-email) that actually work, with the honest catch for each.

## Why email rejects your PDF (and what makes one so big)

Attachments are bolted onto email as text: the file gets base64-encoded, which inflates it by about a third before it even leaves your outbox, and every mail server in between enforces its own limit. That is the 25 MB wall.

The part most people get wrong is _what_ makes a PDF heavy. It is almost never the text. A 200-page written report can be under 2 MB. Weight comes from **scanned pages and images**: a 10-page contract scanned at 600 dpi can hit 60 MB, and a brochure full of full-bleed photos balloons the same way. Embedded fonts and vector graphics add a little; scans add a lot. Knowing that tells you which fix will actually help.

The pattern in every real fix below: you either **shrink the file** or you **stop attaching it and send a link**. The only question is which one fits how the PDF will be used.

## Method 1: Shrink the PDF (free, often enough)

Try it while you are reading

Upload a file and get a clean, trackable link with a QR code. Free, and no account for whoever opens it.

[Create a link](https://linkinseconds.com/)

If the bloat is images, compressing the PDF is the fastest fix. Our free [Compress PDF tool](https://linkinseconds.com/compress-pdf) does it in your browser without uploading the file anywhere, or use **"Reduce File Size"** in Acrobat, **File → Export** with the "Reduce File Size" Quartz filter in Mac Preview, or any reputable compressor. What it really does is downsample the embedded images to around 150 dpi, which is plenty for on-screen reading. A 60 MB scanned contract can land near 8 MB this way, comfortably under the email cap.

The honest catch: it softens images, so it is fine for reading on a screen and wrong for anything going to print. It does almost nothing for a PDF that is already just text, and you have to redo it every time you re-export the file.

## Method 2: Don't bother zipping it

This is the reflex that wastes the most time. Zipping shrinks many file types, but a PDF is **already internally compressed**. Zipping a 50 MB PDF typically saves 2-5%. It lands around 48 MB, still bounces, and now your recipient has to unzip it before they can even open it. If the file is too big, compress the PDF itself (Method 1); do not put it in a zip and hope.

## Method 3: Split it into parts (free, clumsy)

You can split a 60 MB PDF into three ~20 MB files (by page range or by chapter) and send three emails. It works when you are forced to use email and cannot compress enough. The cost: the reader has to reassemble it in their head, cross-references like "see the appendix on page 40" break across files, and three attachments are three more chances to hit a spam filter. A stopgap, not a habit.

## Method 4: Google Drive or Dropbox (free, permission traps)

Upload the PDF to a cloud drive and email the share link. Storage is generous and free. The catches are familiar, and they are the reason people look for a [Google Drive alternative](https://linkinseconds.com/google-drive-alternative) for sharing: your recipient often hits a **"request access"** wall because sharing defaulted to restricted, the PDF opens inside a drive UI wrapped in folders and sign-in prompts, and the link quietly exposes your account identity. It works, but it feels like homework on both ends.

## Method 5: WeTransfer-style transfer (free, then it's gone)

[Transfer services](https://linkinseconds.com/wetransfer-alternative) take big files (3 GB free on WeTransfer) and email a download link. Two things to know: the free link **is deleted after three days**, on a plan capped at ten transfers a month, and the recipient has to download the whole file before they can read a word, usually past a page with ads. Fine for a one-off handoff of a giant file. Wrong for anything you will share more than once, because an expired transfer link is the classic ["can you resend it?"](https://linkinseconds.com/blog/share-links-that-never-expire) generator.

## Method 6: A PDF link that opens in the browser Recommended

This is the method built for a PDF someone needs to _read_ rather than archive. Upload it to a [PDF-to-link converter](https://linkinseconds.com/pdf-to-link-converter) and you get one short URL. The person you send it to opens the document right in their browser (every page, in order) with no download, no Acrobat, and no account:

- Upload your PDF on the [PDF to link](https://linkinseconds.com/pdf-to-link-converter) page. You get a clean URL like **lisview.com/q3-report**.

- Paste that link into your email. It is a few dozen characters, so no size limit applies.

- They click, it opens in the browser. You can see the view count from your dashboard.

- ✅ Reads inline, no download step, and multi-page PDFs stay whole and in order

- ✅ The link keeps working: no 3-day transfer expiry to chase

- ✅ View tracking included, plus a QR code for anything printed

- ✅ Replace the PDF later (fixed a typo, new version) and keep the same link

- ⚠️ Honest limit: the free plan covers PDFs up to 250 MB; bigger files up to 500 MB per file need Pro. For a one-off transfer of a truly huge PDF, use Method 5 instead.

## Which method should you use?

- **A contract, proposal, or report someone needs to read**: a browser PDF link. No friction for them, and the view count tells you it landed, the same idea as [proposal tracking](https://linkinseconds.com/proposal-tracking). If knowing whether it was opened matters, [here are five honest ways to tell](https://linkinseconds.com/blog/how-to-know-if-someone-opened-your-pdf).

- **It must be an email attachment**: [compress the PDF](https://linkinseconds.com/compress-pdf) (Method 1), and split it (Method 3) only if that is not enough.

- **A giant file a printer or editor needs the actual bytes of**: WeTransfer or a cloud drive. They need the file, and the link dying later does not matter.

- **An internal doc and your team already lives in Drive**: a cloud-drive link is the path of least resistance.

The short version: email is the wrong container for a big PDF. Shrink it if it truly has to be an attachment; otherwise send a link. And if the PDF is going to be _read_ rather than stored, a [browser PDF link](https://linkinseconds.com/pdf-to-link-converter) is the one nobody has to download, and the [one that beats a bounced attachment](https://linkinseconds.com/blog/pdf-attachment-vs-link) every time it matters.
